To excel in this role, you will need:
- Language Skills: Fluent in English (Asset: Chinese language proficiency)
- Education: High school graduation certificate
- Experience: 7 months to less than 1 year
- Work Setting: Urban area
- Greeting and Directing: As a receptionist, you will be the first point of contact for visitors and clients. Your warm and friendly demeanor will create a welcoming atmosphere, and you will skillfully direct individuals to the appropriate contacts or service areas.
- Providing Information: You will assist clients and the general public by providing basic information about our services. Your knowledge and professionalism will ensure that inquiries are handled promptly and accurately, leaving a positive impression on our valued clients.
- Information Processing: Gathering and processing information is an essential part of this role. You will collect necessary details from clients to facilitate efficient service delivery. Attention to detail and strong organizational skills will be critical in ensuring accurate and timely processing.
- Telephone Operations: Operating the switchboard or telephone system will be part of your daily routine. Efficiently handling incoming and outgoing calls, taking messages, and relaying information will contribute to the smooth communication flow within the organization.
- Office Management: Maintaining an organized office environment is essential. You will be responsible for ordering office supplies, scheduling and confirming appointments, sending invoices, and performing various clerical duties, including filing and mail distribution.
- Financial Transactions: Efficiently handling payments is crucial in this role. You will receive and issue payments while maintaining accurate records. Your attention to detail and reliability will be instrumental in ensuring financial transactions are processed smoothly.
- Computer and Technology Knowledge: Proficiency in various computer applications is necessary to excel as a receptionist. Your familiarity with email systems, MS Excel, MS Outlook, MS PowerPoint, MS Word, and MS Windows will contribute to your overall effectiveness.
- Security and Safety: Basic security clearance will be required to maintain a safe and secure working environment for staff and clients.
